Welcoming Arms Volunteers Needed For Magna Hoedown!

You can volunteer for as many spots as you like, and there ARE benefits to your helping!

  • Each volunteer gets a Hoedown t-shirt.
  • Complimentary admission to Friday night event if you volunteer for:
    • Monday, Tuesday, Wednesday, Thursday, Sunday
    • Friday (shift end before 5:30pm)
    • Saturday day (shift ends before 5:00 pm)
  • Complimentary admission to Saturday night event including dinner, if you volunteer:
    • Saturday Evening (shift ends after 5 pm) including Late Night Clean Up

Volunteers working prior to the event will receive a voucher for entry. Please enter via Volunteer Entry. Do NOT transfer ownership of the voucher – it is meant to be for the volunteers who volunteer. Volunteers working night of, or after event, will check in through volunteer entry on a sign in sheet.

MANDATORY VOLUNTEER MEETING TUESDAY SEPTEMBER 11TH 6:30PM – 8:00PM AT THE HOEDOWN TENT!!! You will receive specific task instructions, safety instructions, entry instructions and volunteer shirts.

All volunteers MUST wear appropriate footwear to both the volunteer meeting and to perform their assigned volunteer task. Appropriate is deemed as sturdy, closed in closed toed shoes. Running shoes, cowboy boots, work boots or something similar. NO sandals, tennis shoes, clogs etc. You will be sent home :(

MONDAY SEPTEMBER 10TH 1:00pm – 5pm 2 VOLUNTEERS REQUIRED

Split rail and Large Install: Assist with installing fencing and large props. Must be comfortable working with tools (you don’t need to bring any). Lifting and carrying of heavy props required.

TUESDAY SEPTEMBER 11TH 8:30am – 12:30pm 2 VOLUNTEERS REQUIRED

Corn stalks: Assist with moving and securing corn stalks; MUST wear long sleeves and not be allergic to corn; assist with other area when not needed here.  Should be able to carry tall corn stalks and be able to secure wire.

WEDNESDAY SEPTEMBER 12th 8:30am – 12:30pm 3 VOLUNTEERS REQUIRED

Centre Pieces/Décor/Set Up: Moving small and medium sized props; dressing dance floor and other areas; dress tables with table covers and burlap (staple gun usage); wipe chairs; preparing plants and centre pieces for tables; picking up garbage through tent; assist with other areas when not needed here;

These tasks take place in stages, so you will need to be flexible and patient during set up. Lots of walking involved and some lifting and carrying. Where heavy lifting is required it is noted. Must be flexible.

 

FRIDAY SEPTEMBER 14th – STUDENT EVENT 8am- 3pm 2 VOLUNTEERS REQUIRED

Environmental: Bussing tables and removing debris; helping to sort garbage and obtain zero waste.

FRIDAY EVENING SEPTEMBER 14th 9:30pm – 1am 2 VOLUNTEERS REQUIRED

Environmental: Assisting to sort garbage at stations. Bussing tables and bringing to stations; guiding guests for waste disposal; picking up debris as necessary; emptying designated garbage cans. All volunteers for this event should be flexible and be prepared to assist where necessary and directed. Come ready for weather: rain or shine or cold or warm!!!

Hoedown does its best to provide a zero-waste event. There will be garbage sorting stations and all garbage will be brought to these stations. Volunteers will be standing and walking during full shift.

FRIDAY EVENING SEPTEMBER 14th 6:00pm – 9pm 2 VOLUNTEERS REQUIRED

Front Gate Entry: Volunteers will use provided app to check guests in. Will use own data for scanning (we have been assured this is minimal usage but best for folks with data plan not use as you go); Assisting with taking tickets, wrist bands and dinner tickets. Will be standing for this duty. All volunteers under this task will be asked to download a free app to their phone on volunteer night. Own data to be used (minimal). Details to be provided.

 

FRIDAY EVENING SEPTEMBER 14th 9pm – 12:30 am 2 VOLUNTEERS REQUIRED

Ticket Sales (NW bar): Bar tickets sales for alcohol; should be comfortable handling money and dealing with public.

SATURDAY DAY SEPTEMBER 15th 8:30am – 12:30pm 2 VOLUNTEERS REQUIRED

                                                              12:30pm – 5pm 2 VOLUNTEERS REQUIRED

Centre Pieces/ Décor/ Set Up: Taking tent back to state it was before prior to student event; Moving small and medium-sized props; resetting and dressing tables with covers and burlap; resetting and wiping chairs; picking up garbage throughout the tent; assist with other areas to prepare for evening when not needed here.

Lifting and carrying. Assisting to put tent back to doors open Saturday night.

 

SATURDAY NIGHT SEPTEMBER 15th 8:30 pm – 12:30 am 2 VOLUNTEERS REQUIRED

Junction: Assisting guests on games,; Handing out snacks as purchased. Selling Hoedown merchandise. Requires standing for full shift.

SATURDAY EVENING SEPTEMBER 15th 12:15am – 2am 1 VOLUNTEER REQUIRED

Late Night Clean: Assisting with cleaning tables, stacking chairs. Collecting garbage and moving props as necessary. Lifting, carrying and walking required.

SATURDAY SEPTEMBER 15th 3:30pm – 7pm 2 VOLUNTEERS REQUIRED

Raffle ticket sellers: Selling to guests throughout the tent areas. Will be walking the full shift. Early shift sellers should be prepared to sell rain or shine so come prepared for weather!!!

SATURDAY SEPTEMBER 15TH 4:30pm – 9:30pm 2 VOLUNTEERS REQUIRED

Sponsor/Disability/VIP Seating: Assist in holding seats for VIPs during evening; will act as Standby and may be reassigned once their guests have arrived. Standing, patience with dealing with public and being flexible.

SATURDAY SEPTEMBER 15th 4:30pm – 8:30pm 1 VOLUNTEER REQUIRED

Ticket Sales Junction: Bar tickets sales for alcohol; should be comfortable handling money and dealing with public.
